Job Description

Position Overview:
The Human Resources & Faculty Affairs (HR/FA) Generalist will oversee the daily HR, academic affairs, and payroll operations within the Department of Medicine. This role includes supporting the HR core team and departmental divisions, ensuring smooth and efficient processes for recruitment, onboarding, compliance, and payroll management.

Key Responsibilities:

Recruitment & Onboarding:

  • Coordinate recruitment activities, including obtaining approvals, drafting job descriptions, and posting positions on internal and external platforms.
  • Manage applicant tracking and initiate reference checks, background screenings, and employment clearance procedures.
  • Facilitate onboarding for faculty, staff, researchers, and students, ensuring seamless integration, including scheduling orientations and managing access to systems and email.
  • Process template-based hires and nominations in PeopleSoft, ensuring all information is accurately collected and updated.
  • Oversee the onboarding of short-term visitors and students via JIRA.

Payroll & HR System Management:

  • Process bi-weekly payroll for hourly staff, including managing timesheets.
  • Handle employment changes such as promotions, leaves, resignations, reclassifications, and payroll transactions in systems like TalentLink and PeopleSoft.
  • Manage employment-related updates, including position numbers and appointment changes, ensuring timely and accurate processing.
  • Collaborate with internal and external teams to address payroll or system-related challenges effectively.

Compliance & Immigration:

  • Track and verify time-off records for Officers, ensuring supervisor approval and timely updates.
  • Assist with faculty and fellow reappointments for the University and biannual clinical reappointments.
  • Maintain compliance with University and Hospital requirements for departmental members.
  • Provide support for immigration needs, including visa sponsorships (F-1, J-1, H-1, O-1, TN-1) and documentation preparation for new and renewal cases.

Systems & Project Management:

  • Use ServiceNow HR Ticketing System to manage and resolve HR requests.
  • Maintain accurate employee records by updating forms and documents in an electronic filing system.
  • Contribute to special projects and perform related duties as assigned.

Minimum Qualifications:

  • Bachelor’s degree or equivalent combination of education, training, and experience.
  • At least 3 years of experience in human resources or administrative roles.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Ability to work under pressure with minimal supervision, exercising sound judgment.
  • High level of professionalism, discretion, and the ability to interact with individuals at all levels.
  • Proficiency in Microsoft Office Suite, including advanced spreadsheet and database skills.

Preferred Qualifications:

  • Bachelor’s degree in Human Resources or a related field.
  • Familiarity with university policies, procedures, and HR systems.

Other Requirements:

  • Successful completion of applicable compliance and system training requirements.
